Abstract

    Academic document management in many institutions still faces obstacles such as slow processes, risk of errors, and difficulty in tracking archives, thus requiring a more efficient digital approach. Objective: This study aims to determine the effectiveness of implementing an Academic Document Management Information System in improving accuracy, service speed, and ease of data retrieval. Method: A quantitative approach was used through the stages of needs analysis, system design, implementation, and functional testing to assess performance, error rates, and user response. Results: The developed system showed a reduction in recording errors of more than 40%, an increase in document processing speed, and the ability to instantly search archives through a centralized database. Automatic validation and an intuitive interface were proven to increase user satisfaction and reduce administrative workload. Conclusion: The results of this study prove that this system is capable of addressing the main problems of conventional archiving and providing significant improvements in the quality of academic services. The research objectives were fully achieved, although further development is still needed, especially in the integration of artificial intelligence and system interoperability in order to meet the increasingly complex demands of digitization.
